Tendering Specialist

Join our team as a Tendering Specialist – Tendering Specialist driving strategic proposal development for high-impact international funding opportunities. In this role, you will lead the end-to-end process of monitoring, analyzing, and qualifying calls for proposals from key institutions such as ESA, EC, and national agencies. You’ll coordinate cross-functional input—from technical and financial to legal—to deliver compliant, competitive bids tailored to strategic objectives. By managing timelines, maintaining proposal assets, and liaising with partners and stakeholders, including agency delegates, you ensure efficient and accurate tender submissions. Sybilla Technologies designs builds and operates robotic optical observatories for monitoring objects in space. The company specializes in the complete systems, software for automated data acquisition, analysis, and scheduling of networks of sensors. We work in the domains of Space Situational Awareness, Space Surveillance and Tracking, Space Traffic Management, Near Earth Objects, stellar and planetary research, education, and commercial on-demand observations.

Your Responibilities

  • Monitoring, analyzing, and qualifying calls for proposals. 

  • Preparing, editing, and coordinating bid documentation with internal teams (technical, financial, legal). 

  • Ensuring compliance of proposals with formal requirements and submission guidelines. 

  • Maintaining up-to-date calendar of open and upcoming calls (ESA, EC, POLSA, EUSST, etc.). 

  • Managing the tender preparation process with external partners and subcontractors. 

  • Communicating with national and others like ESA delegates regarding eligibility and upcoming calls. 

  • Supporting internal knowledge base regarding funding mechanisms and proposal strategies. 

  • Coordinating input from engineering, finance, and operations to deliver cohesive, competitive proposals. 

  • Maintaining and updating reusable content libraries (technical descriptions, references, CVs, etc.). 

  • Preparing templates and checklists to standardize the tendering process.

Requirements

  • 2 + years of experience in tendering, proposal writing, or grant coordination, proposal submission (preferably in IT/STEM). 
  • MSc or equivalent degree. 
  • Fluent in Polish and English, both spoken and written. 
  • Strong attention to detail, especially in formal documentation. 
  • Experience with ESA, NCBiR, NCN, or EU-funded calls – highly preferred. 
  • Familiarity with project proposal budgets and legal/administrative requirements. 

Nice to Have

  • Experience in international proposal consortia. 

  • Interest in astronomy or technology for public good. 

  • Familiarity with the astronomy / optical observations of the night sky.

Terms of employment

  • Employment will be delivered in a remote or hybrid model (main office in Bydgoszcz, Poland).   

  • Ability to travel to remote sites (on a need basis) and to headquarters (once per quarter).   

  • Salary: 11000 – 14000 PLN/employment contract or 13000-17000 B2B depending on your experience and qualifications.

  • The candidate will have a specialist assigned as mentor during initial weeks of employment.   

  • The candidate will be offered compensation relative to his/her experience and skills.
