Configuration Manager

Sybilla Technologies designs, builds and operates robotic optical observatories for monitoring objects in space. The company specializes in the complete systems, software for automated data acquisition, analysis and scheduling of networks of sensors. We work in the domains of Space Situational Awareness, Space Surveillance and Tracking, Space Traffic Management, stellar and planetary research, education, and commercial on-demand observations.   

Accountabilities

  • Monitor requirements status throughout the project and ensure technical teams stay on track with implementation. 
  • Review and manage stakeholder change requests to ensure they remain within scope or that appropriate trade-offs are agreed upon. 
  • Support proposal preparation by structuring and validating requirements for technical and compliance alignment. 
  • Create and maintain project deliverable templates until acceptance, and prepare/update user manuals and standard operating procedures (SOPs). 
  • Manage evolving requirements using methods compliant with ECSS, ensuring full traceability and configuration control from early concept and feasibility stages (TRL 1–3) through development and prototyping (TRL 3–5) to demonstration, validation, and operational deployment (TRL 6–9). 
  • Coordinate documentation exchange, version control, and process alignment between internal teams and external entities (e.g., ESA officers, industrial and research partners, subcontractors, national agencies). 
  • Prepare complete configuration documentation and oversee configuration item management, planning, and control across the project/product lifecycle. 
  • Identify gaps in existing configuration and documentation practices, propose improvements, and align processes with industry best practices. 
  • Participate in project reviews (e.g., TRR, CDR, PDR) to ensure configuration consistency, documentation completeness, and traceability across lifecycle stages. 
  • Regularly report configuration status to Project Management Office, technical teams, and external partners. 
  • Provide training and support to internal teams on configuration management tools, versioning practices, and relevant standards (e.g., ECSS-compliant methods). 
  • Ensure traceability and integrity of configuration items throughout the entire project and product lifecycle. 

Requirements

  • Higher degree in a STEM field 
  • Minimum 3 years of experience in configuration and documentation management within technical or R&D projects; experience in ESA-funded projects is a strong asset. 
  • Practical experience in drafting technical documentation for proposals and project deliverables, ideally in multi-partner or international settings.  
  • Familiarity with ECSS standards, project lifecycle models, and Technology Readiness Levels (TRLs) is desirable.  
  • Good knowledge of Requirements Engineering.    
  • Strong communication and reporting skills (oral and written).  
  • Excellent reporting skills (for documentation, keeping track of changes, etc.).    
  • Excellent English (written/spoken), including formal documentation writing.

Terms of employment

  • Remote employment model (main office is in Bydgoszcz/Zielonka).   
  • Salary: 12000 – 15000 PLN gross on employment contract or 83 – 117 PLN per hour on B2B contract, depending on your experience and qualifications.
