Bid Manager

We are looking for a Bid Manager who can lead the preparation and coordination of applications for funding research and innovation projects. We’re specifically looking for someone who contributes meaningfully to the content of the grant proposals — not just handling procurement budgets. You will work closely with our technical teams to turn innovative ideas into strong, well-structured proposals for European institutions.

Sybilla Technologies designs builds and operates robotic optical observatories for monitoring objects in space. The company specializes in the complete systems, software for automated data acquisition, analysis, and scheduling of networks of sensors. We work in the domains of Space Situational Awareness, Space Surveillance and Tracking, Space Traffic Management, Near Earth Objects, stellar and planetary research, education, and commercial on-demand observations.

Your Responibilities

  • Monitoring and analyzing funding opportunities for R&D grants at the EU and national levels.
  • Preparing comprehensive grant proposals, including both technical and administrative sections.
  • Coordinating the submission process and managing communications with funding bodies.
  • Collaborating with internal experts and external partners to define and describe grant- concepts.
  • Supporting funded grant with reporting, compliance, and follow-up documentation.

Requirements

  • Have at least 3 years of experience preparing and coordinating applications for European-funded R&D grants.
  • Understand how to create strong grant narratives and work with technical experts to shape them.
  • Are fluent in English (written and spoken, C1+ level).
  • Have strong organizational and communication skills.
  • Can work independently and take ownership of complex processes.
  • Familiarity with project proposal budgets and legal/administrative requirements. 

Nice to Have

  • Experience with ESA, NCBiR, NCN, or EU-funded calls – highly preferred
  • Experience in areas related to space, observation systems, or data science.
  • Knowledge of how EU funding institutions operate and what evaluators look for in proposals.
  • Experience in coordinating multi-partner or international project consortia.
  • Familiarity with the astronomy / optical observations of the night sky.

Terms of employment

  • Employment will be delivered in a remote or hybrid model (main office in Bydgoszcz, Poland).  
  • Ability to travel to remote sites (on a need basis) and to headquarters (once per quarter).  
  • Salary: 11000 – 14000 PLN/employment contract or 13000-17000 B2B depending on your experience and qualifications.
  • The candidate will have a specialist assigned as mentor during initial weeks of employment.
