Planning & Quality Governance Lead

We are now looking for a Planning & Quality Governance Lead to bring structure, consistency and transparency to how the company plans and coordinates its work across projects, programs, resources and departments. 

What You Will Do:

  • Own and coordinate the company-wide planning cycle, ensuring that planning activities are structured, connected, and delivered according to an agreed cadence. 
  • Define the planning calendar, scope, and objectives of recurring planning sessions across the organization. 
  • Coordinate planning for strategic, complex and cross-functional initiatives involving multiple projects, programs, or organizational units. 
  • Organize and facilitate key planning sessions, ensuring the right people are involved and that discussions result in clear outcomes. 
  • Consolidate and validate planning inputs and outcomes from projects, programs and departments into a coherent company-wide view. 
  • Coordinate periodic reviews of workload, capacity, resource demand, and priorities across the organization. 
  • Facilitate the resolution of resource and priority conflicts, bringing the relevant leaders together to reach practical decisions. 
  • Lead, manage and develop the Planning & Quality Governance team, setting clear objectives, responsibilities and expectations. 
  • Build effective cooperation between the different specialist areas within the function and across the wider PMO organization. 
  • Establish clear operating interfaces between planning, program delivery, project delivery, and departmental functions. 
  • Continuously improve planning practices, processes and standards based on delivery performance, lessons learned, audit findings and organizational needs. 
  • Ensure that planning and governance outputs are consistent, timely, actionable, and adopted across the organization. 
  • Oversee the quality governance framework and ensure that audit findings, lessons learned and agreed improvement actions translate into meaningful organizational and process improvements. 

Requirements:

Experience & Background

  • 5+ years of experience in project, program, portfolio or PMO environments, including at least 3 years in a leadership or management role. 
  • Proven experience running company-wide or multi-project planning cycles and resource/capacity reviews. 
  • Experience building, leading or developing PMO, governance, quality or business operations functions. 
  • Experience defining governance frameworks, decision-making processes, standards, and operating procedures. 
  • Experience leading and developing a small team. 
  • Experience working with PMO and work-management tools such as ClickUp at a planning and oversight level. 
  • Bachelor’s or master’s degree in project management, business administration or related field. 
  • PMP, PRINCE2, MoP or equivalent portfolio/program planning certification is a plus.

  • Ability to work effectively with leaders from different functions and balance competing priorities. 
  • Strong organizational and analytical skills, with the ability to see both the bigger picture and the dependencies underneath it. 
  • Comfortable facilitating planning and decision-making rather than simply producing plans yourself. 
  • Strong ownership and follow-through – make sure that agreed actions actually happen. 
  • Ability to identify conflicts and bottlenecks early and help the organization address them constructively. 
  • A continuous-improvement mindset combined with an appreciation for the value of stable, predictable processes. 
  • Strong command of English, both written and spoken, for daily communication in an international environment.

What We Offer:

  • Compensation: PLN 21,000-29,000 gross/month (Employment Contract), depending on experience and qualifications. Alternatively, PLN 165-220 net/hour (B2B contract)
